It also describes our practices for collecting, using, maintaining, protecting, and disclosing that information.

This policy applies to two categories of individuals:

- Authorized Platform Users. The Platform is a professional veterinary reporting and management tool provided to veterinary clinics and practices (each, a “Client”). Authorized employees, staff members, and representatives of our Clients (each, an “Authorized User”) access the Platform using credentials provided by or on behalf of their clinic.
Throughout this policy, references to “you” and “your” include both Website Visitors and Authorized Users, unless otherwise specified.
What This Policy Does Not Cover
This policy DOES NOT apply to information that:
- We collect offline or on any other Company websites or platforms not described above.
- You provide to or is collected by any third party, including through any link on the Website that directs you to a third-party site.
- Is contained within veterinary reports, patient records, or other clinical content that Authorized Users create or upload through the Platform, which is governed by the applicable terms of service between the Company and the Client.
Please read this policy carefully to understand our policies and practices regarding your information. If you do not agree with our policies and practices, do not use the Website or the Platform. By using the Website or Platform, you agree to this privacy policy. This policy may change from time to time (see Changes to Our Privacy Policy). Your continued use of the Website or Platform after we revise this policy means you accept those changes, so please check the policy periodically for updates.
Children Under the Age of 18
Neither the Website nor the Platform is available to individuals under 18 years of age. The Platform is a professional tool intended for use by authorized veterinary clinic employees and staff. By accessing or using the Website or Platform, you represent and warrant that you are at least 18 years old.
We do not knowingly collect, solicit, or maintain personal information from anyone under 18. If you are under 18, do not use or provide any information on the Website or Platform, and do not register or create an account.
If we learn that we have collected personal information from an individual under 18, we will promptly delete that information and terminate any associated account. If you believe we might have any information from or about an individual under 18, please contact us immediately at support@criticalsignalvet.com.
Information We Collect and How We Collect It
We collect information in three ways: directly from you, automatically through technology, and from third parties.
Information You Provide to Us
From Website Visitors. When you interact with the Website, you may provide us with:
- Your name, email address, phone number, and clinic or practice name when you fill out a contact or inquiry form.
- Your name, email address, clinic name, and other details when you request a demo or sign up for a trial.
- Your email address when you subscribe to our newsletter or email list.
- Any other information you voluntarily include in a form submission or correspondence with us.
From Authorized Users and Clients. When you or your Client register for or use the Platform, we may collect:
- Personal information such as name, postal address, email address, telephone number, professional title or role, and clinic affiliation (“personal information”).
- Account registration information provided by you or your Client, including your name, email address, professional role, and clinic affiliation.
- Information that you provide by filling in forms or creating reports in the Platform, including when generating veterinary reports and requesting services.
- Records and copies of your correspondence (including email addresses and phone numbers), if you contact us.
- Your responses to surveys that we might ask you to complete for research or service improvement purposes.
- Details of your use of the Platform’s services and features.
- Your search queries on the Platform.
Information We Collect Through Automatic Data Collection Technologies
When you visit the Website or use the Platform, we may automatically collect:
- Usage and Interaction Details. Details of your visits to the Website or your access to and use of the Platform, including traffic data, location data, logs, referring URLs, pages viewed, and other communication data and resources that you access.
- Device Information. Information about your device and internet connection, including the device’s unique device identifier, IP address, operating system, browser type, mobile network information, and screen resolution.
- Stored Information and Files (Platform Only). The Platform may access metadata and other information associated with files stored on your device that are necessary for the Platform’s core functionality, such as photographs relevant to veterinary reports or records. The Platform will not access contacts, address books, or other files unrelated to the Platform’s services.
- Location Information. The Website and Platform may collect general location information (such as city or region derived from your IP address). The Platform may also collect more precise device location information to support location-based features.
Analytics
We use Plausible Analytics to understand how the Website is used - for example, which pages are visited and how visitors find us. Plausible is a privacy-focused analytics service that does not use cookies, does not store or retrieve any identifier on your device, and does not follow you across other websites or build a profile of you over time. It reports aggregated statistics only, and we cannot use it to identify you individually.
We do not use advertising pixels, cross-context behavioral advertising, or third-party advertising networks on the Website, and we do not build advertising audiences from your activity.
Two features load a third-party service, and only if you choose to use them. Calendly provides demo scheduling and loads when you ask to pick a time; Calendly may set cookies on your device at that point, and we tell you so before you make the choice. Mux delivers the video on our Why We Built It page and loads when you press play; we configure the Mux player so that it sets no cookies and sends no viewing analytics, and our security policy blocks its analytics service outright. If you do not use these features, they are never loaded.
Information We Receive from Third Parties
We may receive information about you from third parties, including:
- From Clients. Your employer or veterinary practice may provide us with your name, email address, role, and other information needed to set up and manage your Authorized User account.
- From Advertising Partners. If we run advertising campaigns in the future, our advertising partners may provide us with information about your interactions with our advertisements, such as whether you clicked on an ad that led you to our Website.

We may also use your information for any other purpose we describe when you provide it or for any other purpose with your consent.
Disclosure of Your Information
We may disclose aggregated information about our users, and information that does not identify any individual or device, without restriction.
In addition, we may disclose personal information that we collect or you provide:
- To Clients. We may share an Authorized User’s information with the Client (i.e., the veterinary clinic or practice) that maintains the user’s account and its designated administrators.
- To Service Providers. To contractors, service providers, and other third parties we use to support our business (such as hosting providers, email service providers, analytics providers, and customer relationship management tools) who are bound by contractual obligations to keep personal information confidential and use it only for the purposes for which we disclose it to them.
- To Affiliates. To our subsidiaries and affiliates.
- In Business Transfers. To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of JLO Veterinary Services, LLC’s assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which personal information held by JLO Veterinary Services, LLC about our users is among the assets transferred.
- To Fulfill Requests. To fulfill the purpose for which you provide it.
- With Consent. For any other purpose disclosed by us when you provide the information, or with your consent.
We may also disclose your personal information:
- To comply with any court order, law, or legal process, including to respond to any government or regulatory request.
- To enforce our rights arising from any contracts entered into between you or your Client and us, including the Terms of Use and Terms of Service, and for billing and collection.
- If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of JLO Veterinary Services, LLC, our Clients, or others.
Your Choices About Our Collection, Use, and Disclosure of Your Information
We strive to provide you with choices regarding the personal information you provide to us.
- Cookie and Tracking Preferences. Our analytics does not use cookies, and we do not use advertising cookies on the Website, so there are no tracking cookies to opt out of. You can still set your browser to refuse all or some cookies, or to alert you when cookies are being sent. If you do, the optional third-party features described above - demo scheduling and video playback - and some parts of the Platform may not function properly.
- Location Information. You can choose whether or not to allow the Platform to collect and use real-time information about your device’s location through the device’s privacy settings. If you block the use of location information, some features may become inaccessible or not function properly.
- Marketing Communications. If you subscribed to our newsletter or email list, you can unsubscribe at any time by clicking the unsubscribe link in any marketing email or by sending us an email at support@criticalsignalvet.com. Please note that even if you opt out of marketing emails, we may still send you transactional or service-related communications.
- Platform Communications. If you are an Authorized User, you can opt out of non-essential communications (such as service improvement surveys or feature announcements) by adjusting your account settings or by contacting us at support@criticalsignalvet.com. You cannot opt out of transactional communications related to your account or the Platform’s operation, such as security alerts or service notices.
Residents in certain states may have additional personal information rights and choices. Please see Your State Privacy Rights for more information.
Accessing and Correcting Your Personal Information
Website Visitors. You may send us an email at support@criticalsignalvet.com to request access to, correct, or delete any personal information that you have provided to us through the Website, such as contact form submissions or newsletter subscriptions.
Authorized Users. You can review and change your personal information by logging into the Platform and visiting your account profile page. Certain account information may be managed by your Client’s designated administrator. You may also send us an email at support@criticalsignalvet.com to request access to, correct, or delete any personal information. We cannot delete your personal information except by also deleting your user account. We may not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect.
Please note that for Authorized Users, because your account is associated with a Client, some requests may need to be coordinated with your Client’s administrator. We will work with you and your Client to address such requests in accordance with applicable law.
Residents in certain states may have additional personal information rights and choices. Please see Your State Privacy Rights for more information.
Data Retention
Website Visitor Data. We retain personal information submitted through contact forms, demo requests, and newsletter subscriptions for as long as necessary to fulfill the purpose for which it was collected, maintain our business relationship with you, and comply with legal obligations. If you unsubscribe from our newsletter, we will retain only the information necessary to honor your opt-out preference.
Authorized User Data. We retain your personal information for as long as your account is active or as needed to provide the Platform and our services to you and your Client. We may also retain and use your personal information as necessary to comply with our legal obligations, resolve disputes, enforce our agreements, and for legitimate business purposes.
When determining the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the information; the potential risk of harm from unauthorized use or disclosure; the purposes for which we process the information and whether we can achieve those purposes through other means; and applicable legal, regulatory, tax, accounting, or other requirements.
When your personal information is no longer necessary for any of these purposes, we will delete or anonymize it in accordance with our data retention policies and applicable law. If deletion or anonymization is not immediately possible (for example, because your personal information has been stored in backup archives), we will securely store and isolate your personal information from any further processing until deletion is possible.
Your State Privacy Rights
State consumer privacy laws may provide their residents with additional rights regarding our use of their personal information.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising or targeted advertising, as those terms are used in state privacy laws. We do not use advertising pixels or advertising networks on the Website, and our analytics provider does not track visitors across sites.
